Time and time again, I see posts in Facebook or Twitter from people who are asking, “Does anyone know of a good…?”  You can fill in the blank with any title you wish: Virtual Assistant, Marketing Manager, Graphic Designer, Web Programmer, Social Media Expert, etc.  In fact, I have to admit that this is the most frequent question that I am asked!

Now, there is nothing wrong with the question, in fact, it is a good idea to get referrals from others when you are looking to grow your team.  What I take issue with is the timing of the question.

You see, more often than not, this question is asked before the business owner has truly identified the specific work they need done.  This often leads to hiring the wrong person for their team!

.

It’s no wonder business owners become frustrated and start believing that there just aren’t any good people out there for their team!

.

In light of this, I thought it would be beneficial for me to share with you THE critical first step that so many business owners miss when they are looking to hire help and grow their team!

THE Critical First Step to Hiring:  Begin with the End in Mind

As many of you know, one of Dr. Stephen R. Covey’s key strategies in his book, “7 Habits of Highly Effective People” is to Begin with the End in Mind.   In my opinion, this is a vitally important step, the first step actually, when you are looking to hire people for your team.

What do I mean by that?.

Are You Throwing Money Out of the Window and Jeopardizing Your Success?

Time and time again, I see small business owners throw money out the window and waste their time and energy, because they hire team members without being specific on what they want done and who they need.

.

If as a business owner you are asking for referrals, interviewing and even hiring people for your team before having a clear understanding of the tasks, role and type of individual you require, you are jeopardizing not only your success but that of your new team member as well!  And, you are throwing money out of the window!

Before you post an add on Craig’s List or utter the words, “You are hired!” or even put out a message in social media or to your friends and colleagues asking them if they know of a good virtual assistant, personal assistant, marketing manager, copywriter, graphic designer, web programmer, or any other role, be sure to first be very clear on what you need to have done and the skills and expertise you require.

How exactly do you do that?  Do you wish you had a step-by-step roadmap outlining how to hire your Power Team members – your dream team?

So, I am in my office, working on one of my VIP client accounts, when the phone rings.  I pick up, and at the other end I hear, “Hi, this is P from Guru X’s company abc.com, you recently purchased one of our products…” 

.

You see, a little while ago, I did invest a pretty penny on one of the top internet marketing guru’s programs.  My goal:  expand my service offering and add another income stream to my business.  Now, I do not pick mentors, coaches or training programs lightly.  This was positioned as one of the best in the industry, which is why I selected this program and this Guru.  And, I must say that so far, both the program and the Guru have lived up to their reputation.  Until today, that is….

So back to my conversation with P.  It turns out he was calling looking for a handful of people who would benefit from jumpstarting their online business  by having a professional internet expert hold them by the hand and implement the key learnings from the program.  Yes, it was an up sell.  (Well, let’s call a spade, a spade.)

Up selling was not the issue!

.

But actually, that wasn’t the issue.  The situation deteriorated when I asked for the pricing structure.  P continued to follow what seemed to be a script… telling me that fees were dependent upon the level of service/intervention I required.  To which I responded, “I understand that, but you can surely give me a ballpark figure or at least a price range.”  Again, I got what appeared to be a scripted answer of our plan director takes care of this and we can’t quote you a price without knowing what level of service you need…

Should I have hung up?

.

So I did go on to say that I totally understood that he couldn’t quote me an exact price; that I say the same thing to my prospects. However, he must have tiered service offering with a price structure, a ball park price..a range…to which he promptly replied angrily, “Were you listening?!”   Now the client in me just wanted to hang up then and there…after all this guy calls me on my time…on my business line to try and get me to hand over more cash and he has the gall to get impatient and ask if I was listening?

Virtual Team – what is it and why is it  important to your success as a business owner?  I am frequently asked this question, so while I often talk about how to hire and lead virtual teams; today I thought I’d take a step back to the basics and explore the definition of a virtual team.

.

Let’s start by looking at the definition of a team.  Kazenbach and Smith in Wisdom of Teams described a team as being, “a small number of people with complementary skills who are committed to a common purpose, performance goals, and approach for which they hold themselves mutually accountable.”  While the concept of teams has been around pratically since the beginning of time, virtual teams are still fairly new.

.

So, what is a virtual team? A virtual team is first and foremost a team (as per the above definition).  What makes them “virtual” is that the team members do not work physically together in the same location.  While they can work in the same city, most often, they are dispersed across different cities, countries, continents and time zones!  They interact primarily electronically using email and a variety of tools including teleconferencing. 

.

As a business owner, you may hire a virtual assistant as an employee or on contract and have this individual work out of her home.  Given the technology available today, it it not unheard of to have your virtual assistant, bookkeeper, web designer, etc. located off site, in a different city or country.

.

Virtual Team effectiveness can be increased astronomically when you provide your team members with clear expectations.  After all, you have to remember that while your team may be well intentioned, they are not mind readers. 

.

A few months ago, I was having lunch with a fellow coach who is also a friend, and he was telling me that he was thinking of hiring a virtual assistant.  I was thrilled!  Why?  Well because my friend had been resisting getting help in his business for years.  He was one of those business owners who felt he could do it all himself.  Sound familiar?

Way too often, I hear business owners say something along the lines of, “you know, Sherley, I CAN do this task or that task.”  Here is my perspective:  the real question is not whether or not you CAN do it all; it is whether or not you SHOULD do it!

So yes, I was thrilled that my friend had finally decided to invest in a virtual assistant.  However, when I proceeded to ask him what exactly she would do for him and what he expected of her, he said and I kid you not, ”I don’t know exactly; won’t she know?”  Needless to say, it was a long lunch!

Today, you may need someone to do the basic administrative work, but tomorrow, as your business grows, you will also require invididuals with leadership skills.  Eventually, you will be seeking individuals who can take on the total management of key aspects of your business (product launches, affiliate marketing, event planning, the day-to-day running of your business, etc.).
