Virtual Team – what is it and why is it  important to your success as a business owner?  I am frequently asked this question, so while I often talk about how to hire and lead virtual teams; today I thought I’d take a step back to the basics and explore the definition of a virtual team.

Let’s start by looking at the definition of a team.  Kazenbach and Smith in Wisdom of Teams described a team as being, “a small number of people with complementary skills who are committed to a common purpose, performance goals, and approach for which they hold themselves mutually accountable.”  While the concept of teams has been around pratically since the beginning of time, virtual teams are still fairly new.

So, what is a virtual team? A virtual team is first and foremost a team (as per the above definition).  What makes them “virtual” is that the team members do not work physically together in the same location.  While they can work in the same city, most often, they are dispersed across different cities, countries, continents and time zones!  They interact primarily electronically using email and a variety of tools including teleconferencing.

As a business owner, you may hire a virtual assistant as an employee or on contract and have this individual work out of her home.  Given the technology available today, it it not unheard of to have your virtual assistant, bookkeeper, web designer, etc. located off site, in a different city or country.

.

Virtual Team effectiveness can be increased astronomically when you provide your team members with clear expectations.  After all, you have to remember that while your team may be well intentioned, they are not mind readers.

A few months ago, I was having lunch with a fellow coach who is also a friend, and he was telling me that he was thinking of hiring a virtual assistant.  I was thrilled!  Why?  Well because my friend had been resisting getting help in his business for years.  He was one of those business owners who felt he could do it all himself.  Sound familiar?

Way too often, I hear business owners say something along the lines of, “you know, Sherley, I CAN do this task or that task.”  Here is my perspective:  the real question is not whether or not you CAN do it all; it is whether or not you SHOULD do it!

So yes, I was thrilled that my friend had finally decided to invest in a virtual assistant.  However, when I proceeded to ask him what exactly she would do for him and what he expected of her, he said and I kid you not, ”I don’t know exactly; won’t she know?”  Needless to say, it was a long lunch!

When hiring a virtual service professional such as a virtual assistant or a bookkeeper, you need to share with them a list of responsibilities you want them to take on.  Where do you need help in your business?  What specifically do you want your team member to work on?  What is the list of tasks you want them to complete when working on your account?

Small business owners, particularly those with online businesses, are looking to hire virtual team members to assist them.  Too often, however, I hear their horrible tales of woe about virtual relationships gone wrong!  So how do you build strong working relationships with your virtual team members?

Several years ago, while working in the corporate world, I spear headed a project to introduce teleworking or telecommuting as some call it, in a culture where the general belief was “you can’t manage what you can’t see”.  Yes, I do love a challenge!

The leadership principles I taught back then to managers of new corporate virtual teams definitely apply to the realities of small business owners and their virutal teams today!

As a business owner, do you want an iron clad guarantee that your relationship with your new virtual service provider will be successful, even surpass your expectations?  Sure you do.  Does such a guarantee exist?  Well, let me ask you this…have you ever known any relationship to come with such a guarantee?  I haven’t.

Happy Canada Day to my Canadian readers!  Happy Thursday to those of you who are not Canadian!

Today, I took some of my own advice! Yes, some would say that I played hooky!  I prefer to call it taking quality time today to better serve my clients and my business tomorrow!

You see, yesterday, I blogged about the importance of setting boundaries and ensuring you build some down time and some family time into you schedule.

Today, that’s exactly what I did.  With my son home from daycare, and my husband off of work, I decided that I would also take the day off and celebrate Canada Day with my loved ones!

Larry King, host of the Larry King Live show for the past 25 years, has announced that he will be retiring from the show at the end of the summer.  So what does this have to do with you running your business?

Well, what got my attention in the announcement was not the fact that he was “hanging up his nightly suspenders”.  What held my attention was the reason he states for making this decision – more family time! “I talked to the guys here at CNN, and I told them I would like to end Larry King Live, the nightly show, this fall and CNN has graciously accepted, giving me more time for my wife and I to get to the kids’ little league games,” says King.

It brought to mind the concept of boundaries.  What boundaries have you set in your business around work hours and work days?  Do you have a clearly defined schedule that you keep week in, week out or are you working 27/7?

.

Equally importantly, what boundaries have you placed on preserving quality family time?  Does your family understand that you will be working until 2 p.m. today; however they will have your full attention from 2 p.m. to 4 p.m.?
